Supreme Lending Will Be Closed Monday, July 4, for Independence Day

In observance of Independence Day, Supreme’s offices will be closed Monday, July 4, 2022. The Fourth of July holiday isn’t considered a business day and cannot be included in the recession period for refinances or waiting periods.

As a federal holiday, banks will not be open for business on Monday; therefore, the Wire Desk will be unable to process wires and the Lock Desk will not issue a rate sheet. As a reminder, all locks must be valid through the disbursement date. Please be sure to request any necessary extensions to accommodate the rescission period as well as the lock expiration date.

Easily Find Who to Contact for Help at the Corporate Office 

The Corporate Department Contact List has been refined with more specific and the most up-to-date information so you can easily find who to contact for assistance. The comprehensive contact list is linked on the homepage of Supreme Insight.

With the document, simply find the topic you need support with on the left-hand side, then you will see the email address and phone number that correspond with the appropriate contact who can provide assistance.

Additionally, several department phone queues have been added for support versus calling individuals and possibly getting their voicemail. You can now call main department phone queue numbers on the list to get an answer every time!

Compliance Training Will Launch This Week! 

Can you believe we’re halfway through 2022? That means it’s time to start thinking about annual Compliance training, which is launching THIS week! In Docebo, you will soon be able to find the required Compliance eLearning courses on the Training Dashboard.

We’re excited to announce that for this year’s Compliance training, Supreme employees will only have to complete two courses that will take around just 10 minutes each. Both courses offer the ability to navigate directly to the assessment if you feel that you’ve mastered the content and are ready to take the short test.

The deadline for completion will be Friday, November 4, 2022. But why wait? With just 20 minutes or less of training, you can help Supreme go full speed to hit our Compliance training goals.

Reminder: Bond eFolder Placeholder Implementation Is Next Week! 

We are in the final stages of the eFolder clean-up effort in Encompass with the organization of the Bond placeholders! We are moving to a generic naming convention for all Bond disclosures that are generated from the individual Bond Housing Finance Authority (HFA) portals. This process will streamline and reduce the number of placeholders in the dropdown list.   

Please find an updated Bond eFolder Placeholder document linked below that specifies the changes. We appreciate the feedback we received and have incorporated the updates!

Here’s what each status change indicates:

  • Eliminate/Relabel: The placeholder on the left will be eliminated. The placeholder on the right is an existing placeholder available today that is being renamed.
  • Eliminate/Current: The placeholder on the left will be eliminated. The placeholder on the right is an existing placeholder available today.
  • Eliminate/New: The placeholder on the left will be eliminated. The placeholder on the right is a new placeholder that will be available after the implementation date.

eFolder 2.0 Clean-Up Efforts: Generic Naming Conventions Will Be Used for All HFA Bond Placeholders

We are in the final stages of the eFolder clean-up efforts in Encompass! The enhanced Bond loan placeholders are being finalized. Generic naming conventions will be implemented for all Bond disclosures that are generated from the individual Housing Finance Authority (HFA) portals. This will streamline the process and reduce the number of placeholders on the eFolder dropdown list.   

In the first week of July, placeholders that contain state-specific HFA abbreviations at the beginning will be eliminated and the generic placeholder names will be available for each Bond entity regardless of the state or program. 

  • Existing documents uploaded in eliminated placeholders will remain in the loan file and no action is needed. 
  • The Bond eFolder Placeholder Update document linked here provides a list of the eliminated placeholder names and where the form will be placed after the update. 
  • Post Closing delivery bundles will also be updated to include any new placeholders for loan file delivery. 

New eFolder requests or changes may be submitted to eFolder@SupremeLending.com. The eFolder Committee will review your requests and work with our IT Support Team for updates.

Juneteenth Federal Holiday Notice 

On Monday, June 20, 2022, Supreme Lending will not be observing Juneteenth as a corporate holiday and will remain open. However, it is a federal holiday and banks will not be operating. It will not be considered a business day in the rescission period for refinances or when calculating waiting periods.

The Lock Desk will be open on Monday, June 20, and will issue a rate sheet. Since banks will not be operating, the Wire Desk will be unable to process wires on this day and will resume normal functions on Tuesday, June 21.

Offer Customers an Enhanced Experience With Hybrid eClosing

Supreme has completed the companywide rollout of hybrid eClosing! Branches can now offer their customers the opportunity to opt-in to Supreme Hybrid eClose, if available for their loan program. If using hybrid eClosing, please ensure Branch Fee Sheets are updated for accurate disclosures.

Hybrid eClosing saves time and helps improve the quality of closing documents. The process allows customers to review closing documents, including those that will need notarization and to be signed in person, before the file is sent to the title company. Customers can then ask questions beforehand. Any needed or requested changes can be made prior to the closing appointment so there’s no waiting at the closing table for documents to be redrawn.

This Month’s Tip: SMS Phishing (Smishing) on the Rise!

A form of phishing, known as smishing, is the act of using text messages to trick individuals into disclosing sensitive information, visiting a dangerous website, or downloading a malicious app onto a smartphone. These innocent looking messages may ask to confirm banking details, verify account information, or subscribe to an email newsletter via a link delivered by SMS. As with phishing emails, the end goal is to trick people into an action that plays into the hands of cybercriminals.

Smishing attempts have risen dramatically, and Supreme employees are in the crosshair. Here is one example of several seen last month:

The good news is that the potential ramifications of these attacks are easy to protect against. In fact, you can keep yourself safe by doing nothing at all. The attack can only do damage if you take the bait.

Here are a few things to keep in mind that will help you protect yourself against smishing:

  • Do not click on any link or call any number received from an unknown sender.
  • A message from an unknown sender that urges for a quick reply is a clear sign of smishing.
  • Never provide personal information such as usernames, banking information, or other account details through text.
  • Remember that legitimate companies will not ask for personal information over text.
  • Be on the lookout for messages that contain the number “5000” or any number that is not a phone number. These are often associated with email-to-text services that criminals can use to avoid providing an actual phone number.
  • Understand that smishing is not limited to just texting – WhatsApp, Facebook, and other messaging services are all potentially vulnerable.

This Month’s Tip: How to Recognize and Avoid Targeted Phishing Attacks

Phishing continues to be the most common online threat to Supreme Lending employees, so it’s important to spot tell-tale signs and know what to do when you encounter a malicious email. This month we will break down a “sample” phishing email received by a Supreme employee.

Warning signs in this email include conflicting contact information and malicious URLs:

  • In the email signature, there’s a legitimate @stewart[.]com address, but this email was sent from @packitupboise[.]com.
  • Since this email was supposedly sent by Stewart Title, one would expect the link to direct to a web address related to their company. In this case, the URL is taking us to hxxp://[mikesbirdfeeders[.]com].

What to Do If You Receive a Phishing Email?
Be suspicious of any unsolicited email you receive from someone you do not recognize. Scammers are often very clever at disguising a phishing scam as a legitimate email from a reputable organization. If you feel that something is not quite right, always report the email to Supreme’s Information Security Team by highlighting the phishing email in your inbox and clicking the Report Phish button.

Accepting Meeting Invites
When accepting a meeting invite in Outlook, accept without sending a reply to eliminate unnecessary inbox clutter. Select the Do Not Send a Response option from the drop-down menu.

Blocking Time for Personal Time Off (PTO)
When out of the office, block your time off on your Outlook calendar by selecting the Out of Office option so others will see when you’re on PTO.

 

Send Separate PTO Invites to Your Manager
A separate PTO calendar invite should be sent to your manager. Make sure to select the Show As option as Free so it doesn’t block their calendar but provides a reminder of your PTO.

IT will be conducting regularly scheduled system maintenance this weekend beginning Friday, May 13, at 9 p.m. through Saturday, May 14, at 2 a.m. Central Time.

ICE, a technology vendor for Supreme, will also be conducting scheduled system maintenance for Encompass Plugged-In beginning Saturday, May 14, at 9:45 p.m. through Sunday, May 15 at 9 a.m. Central Time.
